Position Overview
The ABA Scheduler will be responsible for assisting clients and employees in a variety of tasks, including but not limited to creating permanent schedules, rerouting employees due to cancelations, notifying staff and clients of day-to-day changes, updating client/staff availabilities, and various operational duties. This role also involves efficiently matching new Behavior Technicians with clients based on their availability and scheduling needs. As a key position, the Scheduler ensures a seamless connection between new hires and client sessions, helping to streamline the process from recruitment to scheduling.
Key Responsibilities
- Responsible for assisting with day-to-day scheduling adjustments, in real time.
- Match new Behavior Technicians' availability with client schedules.
- Multi-management skills and ability to work quickly to reroute multiple staff at the same time to different sessions in the field.
- Help with staff interviews as needed.
- Contact clients and staff regarding availability changes.
- Coordinating and assisting major and minor scheduling changes as directed.
- Contact clients and staff regarding availability changes.
- Notify clients and staff of updated permanent schedules.
- Monitor client and technician cancellations in accordance with our cancellation policies.
- Maintain a warm and welcoming environment providing excellent customer service.
- Attend required training and meetings.
- Represent BTS professionally and ethically to clients and employees.
- Address any scheduling conflicts or issues that arise, providing solutions and adjustments as needed.
Requirements
- High school diploma or GED.
- Reliable internet connection and a suitable remote work environment.
Qualifications
- 2 years experience in scheduling, specifically within the ABA or Autism field.
- Bilingual in Spanish is a plus!
- Ability to execute active listening and problem-solving skills to provide exceptional
customer service.
- Ability to react to day-to-day operational requirements in a professional and timely
Manner.
- Ability to prioritize and multitask to meet quickly changing session demands and deadlines.
- Excellent interpersonal relationship skills and the ability to work with others of all
levels.
- Proven strong written and verbal communication skills including phone and e-mail
Etiquette
- Proven computer skills and knowledge of MS Excel, Word; Google Office
- Ability to work for extended hours sitting at a computer.

Work schedule:
- Office hours are from 9 am to 5:30 pm PST. The candidate must be able to work in the Pacific time zone.
